Administrative Assistant (AD.11) – Wits University – Johannesburg

Brief Description
Minimum requirements
• At least Grade 12 qualification
• A bookkeeping qualification will be an added advantage
• At least 5 years previous financial experience, preferably in a university environment
• Prior experience working in the Oracle administrative and/or financial system would also be an advantage

Key Responsibilities amongst others:
To carry out general office administration and secretarial duties
To assist with science communication efforts and social media management
To manage financial systems, budgets administration and book-keeping (Oracle) for the ICDP project
To assist in the organisation of meetings, workshops and field trips linked to the ICDP project
To facilitate the appointment of temporary contractors required to execute the project
To facilitate contract or tender requirements as deemed necessary by Wits
To facilitate the processing or purchase orders and invoices, with an understanding of the Wits Oracle procurement system
To liaise with the CoE Central Hub Office at the University of Johannesburg
To assist with students involved in the ICDP/BVDP project
To liaise with academic staff, students and industry personnel on a regular basis
To deal with local and international travel bookings, public relations and transactions (foreign exchange, money transfers, visas, import/export issues, travel insurance) and to assist staff/students/visitors who are not fluent in English with any complexities in this regard

Key Competencies:
• Ability to work independently
• Excellent administrative skills in processing the finances for DSI-NRF CIMERA at Wits
• Ability to deal with students from varying nationalities, both in person, electronically, and telephonically
• The applicant must be fully competent with Microsoft Office (Excel and Word) and have had previous relevant experience
• To be able to collate documentation
